This Privacy Policy explains how Snowbirds Auto Connection Ltd. (“SAC,” “we,” “us,” or “our”) collects, uses, shares, and protects your personal information when you contact us, request a quote, or ship a vehicle with us. We are a family-owned, company-owned and operated vehicle transport carrier based in Concord, Ontario, and we have served Canadian drivers since 1993. We keep this policy in plain English so you can understand exactly what we do with your information.
Who we are
Snowbirds Auto Connection Ltd. is a family-owned, company-owned and operated vehicle transport carrier. We have moved vehicles across Canada and between Canada and the United States since 1993. This policy applies to our website and to the transport services we provide. When we say “personal information,” we mean information about an identifiable individual, such as your name, contact details, and shipment information.
Information we collect
We collect only the information we need to quote, book, and carry out your vehicle transport, and to operate and improve our website.
- What you give us through our quote, booking, or contact forms. Your name, phone number, email address, the origin and destination of your shipment, your vehicle’s year, make, and model, your preferred dates, and any notes you add. If you start a form and do not finish it, we may keep what you entered so we can follow up on your request.
- Information needed to ship and clear customs. For cross-border shipments and where required: your vehicle registration, proof of insurance, a copy of your driver’s licence or passport where the border requires it, and lender authorization where the vehicle is financed or leased.
- Payment details. The information needed to process your payment and complete your booking. Card payments are handled by our payment processor. We do not keep card details on file; if a card number is written down to take a payment, it is shredded as soon as the payment is processed.
- Vehicle condition records. The written and photographic inspection reports we complete at pickup and delivery.
- Website and usage data. How visitors find and use our site, collected through Google Analytics 4 and Google Tag Manager, and through Microsoft Clarity, which records anonymized session replays and heatmaps of how pages are used. Clarity masks the text you type into forms. We also keep standard server logs (IP address, browser type, pages viewed) and use Google Ads conversion measurement to see which of our advertising brings visitors who ask for a quote.
- Email list. If you subscribe to our once-a-year seasonal letter, we store your name and email address with our email service provider, Mailchimp.
Cookies and your consent
When you first visit, a consent banner (provided by Termly) lets you accept or decline non-essential cookies by category. Essential cookies that make the site work are always on; analytics, session-recording, and advertising cookies run only if you allow them. You can change your choice at any time by clearing the site’s cookies, which brings the banner back, or through your browser settings. Declining non-essential cookies does not affect your ability to request a quote or book.
How we use your information
We use the information we collect to:
- prepare and send you a quote;
- book and carry out your vehicle transport, including scheduling pickup and delivery;
- communicate with you about your shipment, including email updates at key milestones;
- process your payment and complete your booking;
- prepare cross-border and customs documentation;
- document your vehicle’s condition and handle any claim;
- send you our seasonal letter, only if you have asked for it;
- meet our legal, regulatory, tax, and insurance obligations; and
- understand how our website and advertising are used so we can improve them.
Email and phone contact
We contact every customer by phone and email about their shipment, because those updates are part of the service. We do not send marketing text messages. We send marketing email only to people who have opted in, in keeping with Canada’s Anti-Spam Legislation (CASL). Every marketing email includes an unsubscribe link, and unsubscribing never affects your shipment communications.
How we share your information
We share your personal information only with the people who need it to deliver your transport, and only as much as is necessary:
- the licensed and bonded customs brokers who clear your vehicle at the border;
- our own drivers and, where a last leg needs a smaller truck, the flatbed operators and carriers we have worked with for years; in Florida, the partner terminals that receive and deliver vehicles for us;
- our payment processor, to complete your payment;
- the service providers that run our website, analytics, email, and forms (including Google, Microsoft, Mailchimp, Termly, and our web host), who may process data on our behalf but may not use it for their own purposes;
- our insurers, where a claim is made; and
- government and border authorities, including the Canada Border Services Agency (CBSA) and U.S. Customs and Border Protection (CBP), where required by law.
We do not sell or rent your personal information to anyone, and we do not share it with advertisers.
Where your information is stored
Our own records are kept in Ontario. Some of the service providers named above, including Google, Microsoft, and Mailchimp, store data on servers in the United States and other countries. While it is there, it may be subject to the laws of that country. Customs documents for cross-border shipments are, by their nature, shared with authorities on both sides of the border.
How long we keep your information
We keep your personal information only as long as we need it to provide the service, to maintain our business records, and to meet our legal, tax, insurance, and customs obligations, which can require us to keep shipment records for several years. When we no longer need it, we securely dispose of it. Website analytics data is kept for the retention period set in the tool, then deleted.
How we protect your information
We use reasonable physical, organizational, and technical safeguards to protect your personal information against loss, theft, and unauthorized access, use, or disclosure, including access limited to staff who need it and secure, password-protected systems. No method of transmitting or storing information is completely secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm to you, we will notify you and the appropriate privacy regulator as the law requires.
Your rights and choices
You can ask us to see the personal information we hold about you, to correct it, to delete it where we no longer need it, or to give you a copy in a usable electronic format. You can withdraw your consent to marketing at any time, and you can decline non-essential cookies. To make a request, contact our privacy officer below; we will confirm your identity, respond within 30 days, and tell you if any law prevents us from doing what you ask.
We handle personal information in keeping with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), Québec’s Act respecting the protection of personal information in the private sector (Law 25), and other applicable privacy laws. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada or, in Québec, to the Commission d’accès à l’information. Residents of Québec may make any request to us in French.

Our website and services are not directed to children under the age of majority, and we do not knowingly collect personal information from them.
